Operations Coordinator

 

CJJCis looking for a full-time Operations Coordinator who is organized, technologically savvy, attentive to details, resourceful,  a team player and committed to social, racial and economic justice.

The OperationsCoordinator ensures the smooth functioning of the administrative and technological systems of our main offices in West Oakland and San Francisco, and satellite office in East Oakland.  

The Operations Coordinator will work closely and supervised by the Finance & Admin Manager who lead a dynamic growing Admin Team that is integral part of the larger organization.

Responsibilities of the position will include:

Operations:

• Order and stock all office supplies and equipment

• Manage office upkeep, cleaning contract, chore rotation and other duties related to keeping our offices clean and functional

• Manage vendors and contracts such as utilities, copier, telephone, etc

•Manage existing office and technology equipment, tech planning and implementation, and supervise technology vendor relations and consultants

• Maintain records for contracts, business registrations, and insurance enrollments

• Manage office filing systems on paper and on computer network • Develop, along with rest of Admin Team, office policies and protocols and train and monitor staff implementation

• Plan and execute logistics for some organizational activities including retreats and trainings.

Program Support & General Operations:

All CJJC staff is expected to support our core work of grassroots community organizing. This may include supporting community members’ activities, supporting meeting and event logistics, and participating in voter education and grassroots fundraising.

Preferred Skills and Qualifications:

• Minimum 2 years experience in managing operations in social justice organizations;

•Experience, expertise, and skills in organizational operations work—including office operations, communications systems, technology & equipment systems, and finance management

• Proficiency with computer operations and programs, including, excel, word, database on both Mac and PC; • Strong research skills

• Supervision abilities, and the ability to share administrative skills through mentoring

• Alignment with CJJC vision and mission

• Excellent communication and organizational skills—good attention to detail and well organized

• Self-motivated—proven ability to work independently

• Ability to work well with diverse groups and populations

• Dedication and ability to work flexible hours

• Proficiency or fluency in Spanish

• Must have a valid Driver License and access to a vehicle

Position is full-time and offers $40,000-$42,000 DOE. Full health, dental, vision benefits are included.

Finance & Human Resource Coordinator  


CJJC is looking for a part-time Finance & Human Resource Coordinator who is organized, technologically savvy, attentive to details, resourceful, a team player and is committed to social, racial, and economic justice.

The Finance & HR Coordinator ensures the smooth functioning of the accounting and human resource systems for the entire organization. The Finance & HR Coordinator will
work closely with and be supervised by the Finance & Admin Manager who leads the dynamic growing Admin Team that is an integral part of the larger organization.
 
Responsibilities of the position will include:
 
Finance:
• Process Account Payables, code invoices, make payments to vendors

• Process reimbursement checks to staff and volunteers

• Maintain paper and electronic filing system for accounts

• Maintain and process payroll twice a month

• Record cash receipts, prepare invoices for some receivables & reimbursements, prepare deposits

• Perform month-end closing duties including: reconciliation of selected
general ledger account balances(including credit card statements),
research account discrepancies, preparation and posting of journal
entries, etc

• Support with annual audit

Human Resources:
• Manage Personnel, Benefits, and HR Documentations

• Coordinating hiring & termination process: preparing hiring packets, exit interviews, benefit packets, orientation to policies & benefits, training, and assist with HR issues

• Develop and Monitor Personnel Policies for Employment & Labor Law Compliance

• Liaison with Benefit Providers and Support Staff with HR & Benefit issues

Program Support & General Operations:
All CJJC staff is expected to support our core work of grassroots community
organizing. This may include supporting day-to-day office operations,
supporting program and members’ activities, supporting meeting and event
logistics, and participating in voter education and grassroots fundraising.

The opportunity – Fundraising for justice

 

Fundraising with CJJC is an opportunity to work in a dynamic team with one of the most cutting-edge movement building community organizations in the country.  At CJJC, you’ll be able to contribute your strong leadership and strategic thinking skills to move forward what an already strong fundraising strategy that supports a $1 million+ budget.  We are looking for someone who is a leader, motivated, energetic and excited to make a strong contribution to social justice.

 

At CJJC, you’ll work closely with the Executive Director and lead a team made up of a Grassroots Fundraising Organizer and Grantwriter, working in close coordination with the Communications Team.  Fundraising is part of CJJC’s political work so you’ll be fully integrated with the staff (no being isolated in a corner in front of a computer!).  From foundations, government contracts, grassroots fundraising, and a new earned income stream, you’ll be able to both make a big contribution to social justice movement building AND expand your skills.

Your responsibilities would be to:

•   Coordinate the Fundraising Team meetings and work planning

•   Lead and implement foundation, government and grassroots fundraising strategies

•   Represent the organization for fundraising purposes

•   Supervise Grant Writer and Grassroots Fundraising staff

•   Work with Executive Director & Fundraising Team to identify new institutional fundraising leads

•   Manage application and reporting deadlines to ensure organization meets all requirements for grants and contracts

•   Work with Executive Director & Fundraising Team to implement fundraising framework and priorities

•   Work with Fundraising Team to train and develop all staff in fundraising skills as needed

 

We are looking for someone who has:

•   3-5 years of development/fundraising experience

•   Experience supervising staff and coordinating teams

•   Excellent writing skills

•   Ability to manage a large body of work, attending to both details and the bigger picture.

•   Proficiency in basic computer programs: Microsoft Word, Excel, databases

•   Fluency in Spanish is a plus
